This method takes advantage of synced blocks and the Notion permission cascade to give you a true 2 way "portal" between external and internal management of your client, while maintaining a single source of truth for that client.     Love it. What are the databases in the 'Data Stack' page stored in? Is it another database? I'm only guessing that because of the 'Home' and 'Search' at the top.

    Confusing. Also, zoom in on what you're describing. We don't need to see see you the whole time. Sometimes I glance at you a few times because you're talking instead focusing on what you're describing. But when I manually zoomed in and pushed you out of the frame, it helped. If you need to be in the video, then don't stick yourself in the lower corner.

      The database is just created in Notion with the specific "tags" for each type. Then the "File Finder" is a layer on top of it to make it feel more app-like.

    how did you make the Title of the page in the centre but the contents of the page is in full width?

      If the page has columns in it, it allows you to adjust the width. Works perfectly for perspectives since it uses 2 columns! So you can keep the page normal width which keeps the title in the center, but still widen the content. Much better aesthetic in my opinion.

    Whats the limit number of rows in this kind of database? If I have a small team and 20 tasks each week per person, that could be hundreds of tasks in a month, after year, for example 3000 tasks, 5 years - 15000 tasks. Is it still ok?

      There is no hard limit that I know of (there may be an extreme one), you just may encounter performance issues. That's also dependent on the number of properties and types. Formulas and relations can slow things down so it just depends. All that to say, you won't break it, it just may load slower.

    Great video. I use a combination of this synced block trick along with your database perspectives method to create an HR system for my company. HR is essentially like clients, but you DO want your "clients" or employees to see each other and look each other up. BUT, as the business owner, I also need to maintain employee-visible sections of each person, as well as internal private HR notes for owners to see only. I'd be curious to hear what your implementation of HR system would be in Notion (I imagine hopefully it would be along the lines of what I developed after following your fantastic videos!)

    I assume I can't add any org-wide database to the client portal page? For example, the Ideas database is only used with that client. If I share anything, the client will be able to see everything. Correct?

      Depends on what you mean (and I probably should have been better at naming/showcasing things) You can add an org wide database to the "internal" side - the client page. In fact, even if you add it to the synced portal, the client can't see it unless they have access to the whole database. But if you're trying to share a partial segment of that database with the client, then no that's still not possible.

      I'd like to add, I think I'm going to implement this into my business process. I need to collect a variety of documents from clients, and so I'm thinking I'll use Zapier to put all the docs into a Google Drive folder that I can grab all at once. In Notion, you have to download each file/media individually it looks like.

      You could potentially just make 3 "apps" for each of those buckets. Or you can do 1 "app" and make perspectives specifically for each. You could also split those just on the database tab level. Whatevers intuitive to you

    the advantage of the database solution is to personalize the views (as I call them) for every team member. My list of views is different compared to the list from somebody else.

    Josh-your stuff is fantastic, and I have really learned a ton with your new regimen of videos this year! I've been trying to "build Perspectively" (maybe another signoff?), myself, but keep second guessing myself with the "keeping it simpler" part. I have 3 businesses that kind of live in one business: a webdev company, a TTRPG content creation machine, and an org that captions live theater. There are a *few* overlaps, especially maybe in the Resources, or a Task or two here and there, but generally I would be the only one that would really want to see the Project Manager view. Am I trying to fit square pegs into round holes? Have you worked in a situation where the Umbrella Company has 3 (or more) very distinct Outputs/Products/Clients/etc. and it made sense to separate Project and Task and other databases?

      As much as Im all about global databases (one database), just make sure it's actually useful and doesn't create more problems than it solves. Global databases solve one main thing which is to aggregate similar items to a higher level. So if you absolutely need to see tasks across all 3 in one spot, then its necessary. Actually I'd go further and say its only necessary if you need to filter/sort on an aggregated view. You can pull in multiple separate databases onto the same page and see everything together. But where you really NEED them to live in the same database is when you need to filter/sort.

    Any update on the bug fixes you talked about? I when I made my first entry the time was set to 12:00 AM despite it being a few minutes past 8 AM. I've tried downloading the template again in the event that you did fix that, but the site is stuck at an infinite loading screen where it reads "Instructions are on their way to your inbox" (my inbox is empty btw and this is after my first download)

      Hey thanks for the catch! Yeah it's exactly the bug I mentioned but I forgot to revert the template. All you need to do is change the default template back to empty instead of the "@today" one. OR you can just delete the "@today" entry altogether. I've also updated the journal template and deleted it so it won't be a problem.

      @@JoshRedd It would probably require a few changes, considering how you use sub-items. But the extension now allows you to create templates for your input and trigger them as quicklinks.

    I've been doing this in Filemaker Pro for 27 years and you didn't get that at all. As well, that word interstitial is verbosely delinquent. Maybe "Interstition" is the word you are looking or, possibly Interstitional? Normal people call it a log.

    did notion change linked DB permissions? or is the behavior different with published pages (notion.site) vs inviting someone to a page within your workspace? i've been doing some testing lately, trying to find a work around that allows me to share a filtered view of my main tasks DB, but since I haven't given some ppl permission to the DB itself, those ppl will see nothing. Alternatively, you can filter the view to show what you want, but the hidden data is still accessible to everybody. .....why would that be? great question! Since then I've given up and reluctantly created a different task DB for the ppl i wanted to share. Then I just created a tasks+ page where I've added views for both. I've been trying to avoid doing this, but in a lot of cases, Notion has this all or nothing policy when it comes to permissions.

    Love the video and great to see how your structure an organization. I was wondering one thing: If you add for example files or people to one team, how can you see these same files/people in the upper level of the organization? For the sign-off (trying to get creative): 1 - Notion the flow 2 - Keep Moving 3 - Move with Notion & State it right! 4 - Keep building, keep growing I stop here 😄

      At the company level, you don't need to filter by any team, although you can still manually choose any and every team (or use a rollup). More likely, at the company level, youll want to filter by something like "key documents" instead of teams.

    This is awesome. I just started with Notion a few months ago and I yearned for a a side nav bar system and basically made a list of buttons on the right that opened pages and all those pages had a duplicate of that callout with buttons. It was for a guide that has about 6 pages. But I could feel as I scaled or wanted to do more it would not be as effectient or could get out of control. This is opening my brain up big time, love it. One question though, this is from a year ago should I watch any other videos or keep something in mind because of changes to Notion over the year?

    Can I put two layers of perspectives? Like I put perspective on the first column and consecutive second perspective in the second column for more complicated, hierarchical structure?

      Great question. With the way I built it in this video (using databases) I remember trying to find something but never did. I build Perspectives without databases now using synced blocks and haven't tried super hard to find anything yet. I think you can always manually make sub-perspectives but I wanted to maintain some sort of scalability so that's my threshold of success for it.

      I mean Notion docs! A lot of people call them "Files" or "Notes" or whatever else makes sense to them. You CAN attach word or excel (or other) files to a database item using the Files and Media property - or you could embed the file directly onto a page.
